Exhibition & Trade Fair Passes — QR Registration That Captures Every Visitor
Powered by Gatepasss — WhatsApp registration, QR passes, and gate scanning in one platform
The full picture
An exhibition organiser sells two things: footfall to exhibitors, and access to visitors — and the paper-register entry desk sabotages both. At a typical trade fair in Rajkot or Jamnagar — machinery expos, jewellery shows, education fairs, property exhibitions — visitors queue at a desk where volunteers hand-write names and numbers into registers that are never digitised, never verified, and never seen again. The organiser ends the three-day event unable to answer the only questions that price next year's stalls: how many visitors actually came, who were they, and which day pulled best. Exhibitors paying ₹15,000 to ₹1 lakh per stall get a shrug instead of data. Meanwhile the entry queue itself throttles footfall at peak hours, and printed VIP invites for inaugurations get photocopied and passed around, diluting exactly the exclusivity they were meant to signal.
Gatepasss replaces the register with WhatsApp. Visitors pre-register through a WhatsApp flow promoted on hoardings, newspaper ads and social media — name, number, city, business category — and instantly receive a designed visitor pass on WhatsApp with the event branding and a unique QR. Walk-ins register at the gate on their own phones in thirty seconds, or at an assisted desk, and get the same pass. Entry becomes a scan: the Windows scanner application on gate laptops validates each QR in under a second, with offline sync keeping lanes moving when exhibition-ground internet buckles under crowd load. Category-wise passes separate the flows cleanly — trade visitors, general public on family days, VIP inauguration guests, exhibitor staff badges — each with its own validity windows, so the trade-only morning stays trade-only without arguments at the gate.
The transformation is in the data. Every entrant is now a verified mobile number with a name, city and category — so the organiser closes the event holding a clean visitor database instead of cartons of registers. Daily and hourly footfall counts, category splits and repeat-visit patterns feed next year's stall pricing and this year's exhibitor report, which itself becomes the strongest sales tool for the next edition: "9,400 registered visitors, 62 percent trade" sells stalls better than any brochure. Paid-entry exhibitions and workshops collect through Razorpay or UPI at registration, eliminating gate cash. And the database keeps working after teardown — next edition's launch announcement reaches nine thousand past visitors on day one, which is why organisers who digitise entry once treat the visitor list, not the venue, as the event's real asset.
What you get
WhatsApp pre-registration with instant passes
Visitors register in a short WhatsApp flow and receive branded QR passes immediately — hoardings and ads now feed a database, not a queue.
Thirty-second walk-in registration
On-the-spot visitors self-register by phone or at an assisted desk and scan straight in — peak-hour footfall stops throttling at the entry desk.
Category-wise access control
Trade visitors, general public, VIP inauguration and exhibitor badges each carry separate validity — the trade-only morning enforces itself at the scanner.
Verified visitor database
Every entrant is a confirmed mobile number with name, city and category — the asset that sells next edition's stalls and fills its opening day.
Exhibitor-grade footfall reports
Daily, hourly and category-wise entry counts produce the audited numbers that justify stall pricing — "9,400 verified visitors" beats any estimate.
Offline-synced gate lanes
The Windows scanner validates locally when exhibition-ground internet collapses under crowd load, syncing lanes automatically afterwards.

Common questions
Will asking visitors to register on WhatsApp reduce our footfall?
Experience runs the other way. Pre-registration converts your advertising into committed visitors — a person who registered and holds a pass on their phone shows up at far higher rates than one who merely saw a hoarding — and reminder messages the night before lift attendance further. At the gate, a thirty-second phone registration is faster than the hand-written register it replaces, so walk-ins face less friction, not more. The organisers' real discovery is usually the opposite problem: footfall they previously never counted becomes visible.
Can exhibitors capture leads from visitors at their stalls?
The organiser holds the master database, and what is shared with exhibitors is the organiser's commercial decision — many offer category-wise visitor summaries as part of stall packages, which itself raises stall value. For stall-level lead capture, exhibitors can run their own quick QR flows, and the verified registration data means every lead traces to a real, contactable number. Either way, the exhibitor report — verified footfall by day and category — is data no register-based event has ever been able to put in a renewal pitch.
We run both free public days and a paid trade conference. Can one system handle it?
Yes — that mix is a standard Gatepasss configuration. Free general passes, trade passes with restricted morning validity, and paid conference passes collected through Razorpay or UPI all live in one event, each category scanning at the same gates with its own rules. A visitor can hold both a free expo pass and a paid conference seat, validated independently at the hall door. The dashboard separates counts and collections per category, so accounts close cleanly per revenue stream.
